Community Health Systems Scheduling Specialist Lead - OR - FT in Spartanburg, South Carolina
Job Description Summary :
The basic function of the Scheduling Specialist Lead is to assist the Surgical Services Director and Nurse Manager oversees daily operations in the Surgical Services Scheduling Department as well as performs all the duties associated with scheduling, billing, and relief Kronos in the absence of the Surgical Services Administrative Assistant.
The Scheduling Specialist Lead reports directly to the Surgical Services Nurse Manager. The Scheduling Specialists report to the Scheduling Specialist Lead.
Skills, Knowledge, and Abilities:
Detail oriented, quick to learn, computer savvy, strong knowledge of Medical Terminology. Ability to communicate professionally and pleasantly on the phone and with the scheduling team. Strong ability to establish and maintain effective working relationships with physicians and their offices, patients, employees, and patients. Must have working knowledge of Word, Excel, scheduling and billing programs, and reporting systems for month end utilization reports. Works with MD Liaison to facilitate good will, address scheduling concerns, and promote scheduling procedures at Mary Black.
Coordinate work schedules for Scheduling staff at the direction of the Surgical services Nurse Manager.
Supervises daily activity of the Scheduling staff to ensure all incoming calls and faxes are answered keeping within the optimum service level.
Monitor and report scheduling concerns or inability to schedule Surgical Services procedures or P.A.T. visits and tract/report limitations in weekly Scheduling Blasts.
Develop, establish, and assist with the orientation of personnel.
Reviews schedule daily and every 3 days to assure effective scheduling blocks.
Attends Safety Huddle daily for concerns and questions for following day schedule.
Prepares nightly schedule to distribute to required recipients.
Communicate relevant information to the Surgical Services Nurse Manager & Director, anesthesia, and staff as needed.
Train and communicate new policies and procedures to schedulers.
Promote smooth interactions with other departments and fosters positive interdepartmental relations.
Assist with scheduling and billing as needed.
Demonstrates good judgement and reasoning when investigating and solving problems.
Demonstrates good judgement in respecting the confidentiality of patient and employee information.
Seeks guidance and direction in the performance of responsibilities and duties.
Independently seeks out new process to improve performance and process to obtain 5 star ratings.
Consistently acts as a customer services representative for Mary Black Health System.
Works well with the Surgical Services & Endoscopy Nurse Managers, Director, and all other in positions of authority.
Maintains cooperative working relationship with all personnel.
Promotes a high degree of morale and positive spirit/motivation within the office to include: cooperation, communication, and coordination between this positon and other employees.
Demonstrates the ability to tactfully handle difficult situations.
Constantly shows the ability to recognize and deal with priorities.
Performs duties in an independent manner with minimal direction and supervision.
Recognizes sand performs duties which need to be performed although not directly assigned.
Graduate of state certified high school with a minimum of 1 year scheduling experience in a medical office or hospital scheduling office preferred. Candidate must be efficient in multitasking, pay close attention to detail, proficient with electronic scheduling system, proficient billing expertise, and have a positive attitude with stressful situations.
